Submit your presentation proposal for Vitalis 2025, the largest eHealth event in Scandinavia, 19-22 May 2025 at the Swedish Exhibition and Congress Centre in Gothenburg. For the conference programme we are looking for experience based presentations and future orientated education sessions in digitalization and eHealth for health, social care and digital assistive technology. Admissions are ongoing, so please submit your proposal at your earliest convenience.

The object of this guide is to help you increase your chances of having your presentation accepted by the Vitalis Conference board.

It is important that you follow the guidelines stated here as they are the basis for the possibility of being admitted to the program. The program council does not give reasons for unaccepted lecture proposals.

In order for your lecture to be accepted, there are certain basic criteria that must be met. Your presentation must be:

Current
Vitalis does not accept proposals that present well established facts, nor proposals that present observations or experiences that aren’t validated yet due to, for example, the non-implementation of a system.

Be relevant
Think through who the lecture is relevant to. If you conclude that it is relevant for everyone, then you need to rethink and formulate the content for a more specific target group and with a more specific knowledge goal. A lecture proposal that is too generally described will not be accepted to the program.

References
Vitalis goal is to be able to share relevant knowledge. As part of this, we would appreciate it if you could present relevant references for the claims you make during your presentation.

Non-commercial
Presentations are to be educational and informative in nature and should not be utilized as a marketing tool for commercial products.

One or several commercial products or partners are often involved in a successful case. Your presentation should reflect what your goal was and how it was or wasn’t achieved. If someone in the audience is interested in what product/s has been used for your study they can ask such questions after your lecture.

Industry representants are also welcome to submit proposals for presentations. It is important then that the content is of the type general knowledge content and that references are not made to own products and solutions.
Commercial presentations can be carried out as part of a partner program with Vitalis. There are also an exhibition at Vitalis where commercial messages are welcomed.

Schedule
The following dates must be respected in order for your presentation to be a part of Vitalis 2024.

  • 15 December 2024: Last day to submit your proposal. Later deadlines will be published for some of the focus tracks.
  • March 2025: Notice if your proposal is accepted
  • 8 May 2025: Last day to upload pre-recorded video file, if applicate.
  • 8 May 2025: Last day to upload your PowerPoint presentation
  • 19 – 22 May, 2025: Vitalis Conference

Change of conditions
Please notify Vitalis of any change of your conditions, such as change of lecturer, employment, appointment or basis for your presentation, promptly in order to ensure participation.

Confrence card, travel, hotel.
If your lecture is accepted, the specified lecturer will receive a personal conference card to Vitalis 2024 according to the rules you can find at the heading Lecture format. These personal conference cards are non-transferable. Please note that lecturers are responsible for travel, hotels and other costs in connection with the lecture.

NOTE! Do not wait to buy conference card until the admission notices are sent out. The price of conference tickets is discounted until 31 December, and by purchasing before then, you can secure a room at Gothia Towers Hotel right away. If your lecture is accepted and the lecture entitles you to a free conference card, we will refund or help you change the name of your purchased card free of charge.

Extra lecturer
If more lecturers are wanted than is stated in this guidelines, it must be clearly described what added value is achieved. Please note that additional lecturers are responsible for buying a personal conference card. Exceptions from the limitation of the number of personal conference cards given in compensation are only given in exceptional cases and primarily to those who lack funds such as e.g. non-profit patients / patient representatives. Exceptions are never given to industry representatives.

Publishing
Vitalis reserves the right to publish presentations online.

Lecturers must:

  • present original content, i.e. the work and property is yours alone or in a partnership
  • provide references where applicable; plagiarism is not allowed
  • have the necessary permissions from employer, customer or similar
  • follow guides and templates specified by Vitalis

Title (1)
A meaningful and relevant title of your presentation is crucial for attracting the audience.

Lecturer (2)
If you are the only lecturer, check the box for this, otherwise click on the plus sign to add a lecturer.

Short description of your presentation (3)
This is the description that will be used in our program overview. The long and short description is never visible together.

Long description of your presentation (4)
Your acceptance is based upon the content of this description. This complete description will also be published online and will give you the chance to accurately describe your topic and create an interest with your potential audience. The long and short description is never visible together.

Short Speaker description (5)
Here you enter a short description of the speaker / speakers as support to the program council. This description will not be published in the program. Accepted lecturers will get an invite to update their own presentations.

Language (6)
Select lecture language. Please note that the lecture descriptions must be stated in the same language in which the lecture is given.

Topic (7)
Choose the conference topic that best fits your proposal.

The topic division is made to support the submission of lecture proposals and for navigation in the program. In the program, a few main headlines are presented. As a large number of different names are used for similar subjects, we have chosen to use some of the names that are used more frequently right now. See all topics »

Seminar type (8)
All Vitalis seminars are planned to be provided digitally and that accepted lecture contributions need to be pre-recorded.

You can choose here whether you also want to be invited to conduct the lecture on site.

Some parts of the lectures that take place on site will be broadcast live and the program council decides which these are. If your lecture is accepted for a live track, you do not need to submit a pre-recorded version.

81% of conference delegates say in our follow-up to Vitalis 2024 that they intend to take part of the digital content during or after the conference.

You can choose between these options:

[Digital only] – Select this if you only want to participate with a digital pre-recorded lecture.

[Pre-recorded + On-site] – Select this option if, in addition to the digital pre-recording, you also want to be invited to lecture on-site.

[Only on site] – Select this if the lecture proposal is only carried out on site. You should normally only choose this option if you have a workshop that cannot be carried out with digital participants or if it is a panel discussion that is not suitable for pre-recording.

Seminar Format (9)
Vitalis offers several lecture formats. Please choose the one that best suits your submitted proposal. The program board may propose another format to be able to provide space in the program. The lectures during Vitalis are presented digitally and in some cases also at a live stage with support of PowerPoint presentation.

All lectures must be pre-recorded. When you submit your lecture proposal, you can state whether you want to contribute with a pre-recorded lecture only if you also want to get an invitation to a live presentation.

Note that there are different time rules for pre-recorded compared to live presentations. The reason for this is that in digital format you need to keep a slightly more compressed format and at the live stage presentation we want to give a little more space for the speaker’s audience interaction.

  • Standard
    15-20 minutes for pre-recorded lecture
    A 25-minute traditional, lecture-type conference education session for on-stage presentation. The presentation time includes a question and answer period during the last 5 minutes of the session.
    One speaker gets a personal conference card.
  • Extended
    >20 minutes for pre-recorded lecture
    A 55-minute traditional, lecture-type conference education session in which a specific topic is presented and discussed as a on-stage presentation. The presentation time includes a question and answer period during the last 10-20 minutes of the session.
    No more than two speakers gets a personal conference card.
  • Panel
    A panel discussion / conversation. In the session time there can be included a short presentation / lecture of the topic. The time needed, disposition, panel members and moderator should be given in the application.
    No more than two panel moderators gets personal conference cards.
  • Workshop /round table
    An interactive Workshop or Round table session with attendees about a certain issue. This are opportunities for attendees with a common interest/concern regarding a specific subject to work or discuss that subject with peers in a group setting. Describe the session in the proposal. Details needed are time for the session, number of attendees , topics, facilitator(s), demand for special technology.
    No more than two facilitators gets personal conference cards.
  • Other
    Describe your proposal in a separate paragraph in your proposal.

This can be the most difficult task to answer. Here we want you to already now take a position on why you should give a lecture at Vitalis 2024. What do you want that the audience to have with them when your presentation time is over?

With the different backgrounds of the Vitalis visitors, this is your opportunity to indicate the level of knowledge needed to appreciate your presentation.

  • Introductory
    Presentation gives a broad overview of the subject

    Requires basic knowledge
    A very short introduction may be a part of the presentation
  • Advanced
    For those already in the know
    An introduction should not be a part of the presentation
    Includes more data and facts and at a quicker pace

Target audience (12)
Please choose the audience categories best suited for your presentation. You can choose more than one, but please give some thought as to which are most relevant. These categories are searchable online.

Key Words (13)
Please try not to use more than four key words to describe your presentation. These key words will be used for online searching, so please choose them carefully.
